A Refined Booking Experience

1. Inquiry & Initial Concept Consultation

Upon receiving your structural inquiry form, our production team reviews your event’s theme, venue location, and technical constraints. We host a brief consultation call to align on your creative vision and recommend the optimal entertainment disciplines for your timeline.

2.  Customized Production Proposal & Contract

We deliver a tailored, flat-fee production proposal outlining your exact choreography packages, costuming themes, performance durations, and all audio/visual and technical specifications for your venue. Once the details are finalized and approved, we’ll review and sign a contract together and secure your booking with an agreed-upon deposit. The remaining balance is due on or before the day of the performance. This ensures every detail is clearly communicated, expectations are aligned, and your event is thoughtfully planned from start to finish.

3.  Compliance & Site Coordination

Once a date is secured, our safety and logstics coordinators handle the paperwork. We issue a Certificate of Insurance (COI) directly to your venue and coordinate layout footprints or local municipal permits directly with local fire marshals or site managers, if needed.

4. On-Site Technical Execution

On the day of your event, our production manager and fully costumed artists arrive early for structured sound checks, spacing review, and safety site sweeps. We execute your custom timeline flawlessly, leaving you to simply enjoy the spectacle with your guests.

Your Questions, Answered

Everything you need to know to bring your vision to life.

Booking & Logistics

Q: How far in advance should we secure Phoenix Illuminations Dance for our event?

A: To guarantee availability, custom costuming choices, and seamless municipal permitting (especially for open-flame fire spectacles), we recommend securing your production date 3 to 6 months in advance. However, if you have an immediate timeline, contact our team to check short-notice date availability.

Q: Do you travel outside of Santa Cruz County?

A: Yes. While we are proudly based in Santa Cruz, Phoenix Illuminations Dance regularly services luxury events and corporate galas throughout San Jose, the Monterey Peninsula, San Francisco, and the Greater Bay Area. Travel logistics and mileage fees are explicitly detailed upfront in your custom production proposal.

Technical & Venue Requirements

Q: What are the space and flooring requirements for your performers?

A:

  • Samba and Bellydance: Require a clean, dry, and flat performance surface (such as a stage or dedicated dance floor).

  • Stilt Walking: Requires clear, level pathways with a absolute minimum vertical ceiling clearance of 10 to 12 feet for indoor spaces.

  • Fire Dancing: Requires an outdoor or indoor performance footprint of at least 15x15 feet of clear space, completely free of low-hanging branches, dry brush, or flammable structures.

Q: What happens if our venue restricts open flames or the weather shifts?

A: We specialize in stress-free event production. If your venue does not permit fire, or if coastal weather creates unsafe winds, we seamlessly pivot your package to our premium Indoor LED & Glow Illumination package. Your event retains its high-impact visual spectacle without any logistical downtime.

Insurance & Safety Compliance

Q: Are your performances fully insured?

A: Absolutely. Phoenix Illuminations Dance carries a comprehensive $2M+ performer liability insurance policy that explicitly covers professional fire arts and roaming physical entertainment. We can list your venue or corporation as an "Additional Insured" on the COI upon request.

Q: Who handles the local fire permits for fire dancing?

A: We do. Our production management team directly interfaces with your venue coordinator and local fire departments (such as the Santa Cruz Fire Department or regional county marshals, if needed) to process technical permitting and ensure full safety compliance.
